Overview

Keylumi (Pty) Ltd respects your privacy and processes personal information in accordance with applicable South African law, including the Protection of Personal Information Act 4 of 2013, commonly known as POPIA.

This policy applies to information collected through the Keylumi website and through direct project enquiries sent to our email address or WhatsApp number. It does not replace privacy terms agreed separately for a client project.

Information we may collect

Information you provide

When you contact us, you may provide your name, company name, email address, telephone number and information about a project, product or business requirement.

Technical information

Our hosting infrastructure may record standard technical information such as your IP address, browser type, device type, requested pages, referring page and the date and time of a request. This information is generally used for security, diagnostics and service reliability.

Client project information

If you become a client, additional information may be processed under the relevant proposal, service agreement or project privacy requirements.

How we use information

We use personal information only where it is reasonably necessary for a defined purpose, including to:

  • respond to questions and project enquiries;
  • prepare proposals, estimates and service agreements;
  • deliver and support agreed services;
  • maintain the security and performance of our website;
  • keep appropriate business and legal records; and
  • comply with applicable law or a lawful request.

Depending on the circumstances, processing may be based on your consent, steps needed before entering a contract, performance of a contract, a legal obligation or a legitimate business purpose permitted by law.

Sharing and service providers

We do not sell personal information. We may share limited information with service providers that support website hosting, email, communication, cloud storage, security or professional services. Providers should receive only the information needed to perform their function and are expected to handle it appropriately.

Information may also be disclosed where required by law, to protect legal rights or in connection with a legitimate business reorganisation.

Some technology providers may process information outside South Africa. Where this occurs, we take reasonable steps to use providers and safeguards appropriate to the information and the applicable legal requirements.

Security and retention

We use reasonable technical and organisational safeguards intended to protect personal information against loss, misuse, unauthorised access, disclosure or alteration. No internet transmission or storage system can be guaranteed to be completely secure.

Information is retained only for as long as it is reasonably needed for the purpose for which it was collected, to maintain necessary business records, resolve disputes or comply with legal obligations. When information is no longer required, it is deleted, anonymised or securely disposed of where reasonably possible.

Your privacy rights

Subject to applicable law, you may ask whether we hold personal information about you and request access, correction or deletion. You may also object to certain processing, withdraw consent where processing depends on consent, or raise a concern about how your information is handled.

We may need to verify your identity before acting on a request. Certain information may need to be retained where required by law or a valid business record requirement.

You may also contact the South African Information Regulator. Details and official POPIA resources are available at inforegulator.org.za.

Cookies and external services

The website may use essential browser storage or similar technologies required for basic functionality. If analytics or other optional tracking technologies are introduced, this policy and any required consent mechanism should be updated accordingly.

Our website contains links to services such as WhatsApp, LinkedIn and other third-party websites. Those services operate under their own terms and privacy policies. Keylumi is not responsible for their privacy practices.
